Direct download, no email or sign-up. A 6-sheet .xlsx file in English.
Key takeaways
- Six sheets: How to use, Models, Accounts, Subreddits, Posts and Summary.
- Type the account on a post and the model fills in by itself.
- Repeat warning: flags a post when another account of the same model went to the same subreddit in the last 7 days (you set the window).
- Requirements check: compares the account's karma and age with what each sub asks for.
- The per-model summary counts accounts, posts, removals and average upvotes.
What's in the Reddit spreadsheet template
The template follows the way a Reddit agency works: each model has accounts, each account posts in subreddits, and each post has a result. Light yellow cells are the ones you fill in; cells with gray text are formulas.
| Sheet | What you enter | What it calculates |
|---|---|---|
| How to use | The repeat window in days (7 by default) | Nothing: it explains each sheet and the color legend |
| Models | Model, niche, status, tracking link and notes | Nothing |
| Accounts | Account, model, VA, creation date, post and comment karma, status | Total karma and account age in days |
| Subreddits | Minimum karma, minimum account age, whether it requires verification, best time, key rules and date checked | Nothing: this is your reference data |
| Posts | Date, account, subreddit, title, link, upvotes and comments at 24 h, status | Model, repeat warning and whether the account meets the requirements |
| Summary | Nothing | Per model: accounts, active accounts, posts, removed, % removed, average upvotes and warnings |
Dropdown lists prevent typos: each account's model comes from the Models sheet, and each post's account and subreddit come from theirs.
How to use the template, step by step
- Download and open it. In Excel, just open it. In Google Sheets: File → Import → Upload. The formulas work the same.
- Clear the examples. The first row of each sheet is an example showing the format. Overwrite or delete it.
- Add your models. One row per model on the Models sheet.
- Add the accounts. One row per Reddit account, with its model, the VA who runs it and its creation date. Update karma when you check it and log the date under "Last checked".
- Load your subreddits. Copy the requirements from each sub's rules and wiki. If you can't find them, leave the cell blank and set verification to "Not checked".
- Log every post. Pick the account and the subreddit. If you see "⚠ Repeat" or "No", review it before posting.
- Check the summary weekly. A rising removal rate for one model is the first sign that something is off with her accounts or her subs.
How the repeat warning works
The repeat warning marks a post "⚠ Repeat" when there's another post for the same model in the same subreddit within the window you set. It doesn't matter if the accounts are different: what counts is the model. That way you can see at a glance when two VAs sent the same creator to the same sub.
The window is 7 days by default and you change it on the How to use sheet. Keep in mind it's your agency's internal rule. Reddit and each subreddit set their own rules on posting frequency and repeated content, and those come first. Read them in each sub and in the guide to karma and subreddit requirements.
How the requirements check works
The "Meets requirements?" column compares two numbers for the account with what you logged for the subreddit: total karma against minimum karma, and account age in days against minimum age. If it meets both, it says "Yes"; if it misses one, "No"; if the account or the sub isn't on its sheet, "No data".
The check is only as good as the data you enter. Karma doesn't update by itself, and many subs don't publish their thresholds, or change them. If a new account falls short, the Reddit account warm-up guide explains how to build a history by the rules. For subs that require verification, see the guide to NSFW subreddit verification.
What a spreadsheet can't do
A template keeps you organized, but everything depends on someone updating it by hand. With a few accounts that works. With several models and a team of VAs, the limits show:
- Karma and status aren't read from Reddit. If nobody updates the row, the sheet doesn't know an account dropped or got shadowbanned. To check by hand, follow the Reddit shadowban guide.
- The warning comes late. The sheet flags a post once it's logged; it doesn't stop it from going out.
- Metrics at 24, 48 and 72 hours have to be copied one by one.
- Permissions are per file, not per role. Anyone who can edit can edit everything.
The ReddyTracker vs spreadsheets comparison goes through these differences task by task.
When to move from the template to a Reddit CRM
ReddyTracker is the Reddit CRM that does all of this automatically: it syncs karma, posts and comments with Reddit without extensions, scores each account's health from 0 to 100, detects bans and shadowbans, reads the requirements of 7,000+ subreddits and blocks two accounts of the same model from going to the same sub when you save. It also measures every post at 24, 48 and 72 hours and gives each VA only the permissions they need.
You can try it free for 60 days with 2 models, no card, and compare it with the template. Pricing is per model per month.
Frequently asked questions
Is the Reddit spreadsheet template free?
Yes. It downloads directly, with no sign-up or email, and you can use and share it.
Does it work in Google Sheets?
Yes. In Google Sheets go to File → Import → Upload and pick the file. Formulas, dropdowns and colors work the same.
Can I change the repeat window?
Yes. The number is on the How to use sheet and defaults to 7 days. Remember it's your internal rule: Reddit's and each subreddit's rules come first.
Does the template detect shadowbans or bans?
No. A spreadsheet can't read Reddit. You can log each account's status by hand after checking it; ReddyTracker detects it on its own when it syncs.
Is ReddyTracker available in English?
This website, the guides and this template are in English. The app interface is currently in Spanish, and onboarding and support are in Spanish too.
